Posting vehicle / station alerts

You can set alerts and notify the appropriate personnel when issues are identified during the vehicle inspection.

  1. Click the alert icon and add notes about the issue. Click Log All Checked Items > Log Tasks.
    NOTE: Tasks with a red bell icon next to them already have an open alert.
  2. On the alert form, select the appropriate category for the issue you’re posting. The category will determine which alert recipients are notified.
    NOTE: Alert recipients and categories are set up by the system admin.
  3. Add more details, set a priority level, and attach photos / other files as needed.
  4. Click Set Alert to post the alert to the home page and send an email / text notification to the recipients.
NOTE: Each alert will have a unique ID. 


Posting general alerts

  1. Click set alert on the home page. 
  2. Complete the alert form. 
    1. Apparatus
    2. Category: The category will determine who receives the alert by default. 
    3. Description: Enter details of the alert in this field. 
    4. Priority: Select routine or urgent per your department's guidelines.
    5. Add Attachment: Attach a 10MB PDF, JPG, PNG, or TIFF. 
    6. Cost
    7. Alert Recipients: By default, each category will have pre-selected recipients that will receive the notification. 
    8. Select Additional Recipients: Use this option to notify additional recipients. 
  3. Click Set Alert

Updating vehicle / station alerts

  1. Look for the alert and click edit. 
  2. Update the alert form. 
    1. Category: If you adjust the category, recipients of the alert may change. 
    2. Description: Enter details of the alert in this field. 
    3. Priority: Select routine or urgent per your department's guidelines.
    4. Add Attachment: Attach a 10MB PDF, JPG, PNG, or TIFF. 
    5. Cost
    6. Alert Status: Keep the alert open or close the alert if it's resolved. 
    7. Send Notification: Select yes to send the notification or select no. 
    8. Alert Recipients: By default, each category will have pre-selected recipients that will receive the notification. 
    9. Select Additional Recipients: Use this option to notify additional recipients. 
  3. Click Save

Closing vehicle / station alerts

  1. Look for the alert and click edit. 
  2. Set the alert status to closed. 
  3. Enter the reason for the alert is being closed. 
  4. Send Notification by selecting yes or select no to close the alert without sending a notification. 
  5. Click Save.

To view additional alert details cost and recipient of the alert click details.

Open alerts list

Open a list of alerts by clicking on the drop down arrow next to Set Alert on the home page and click All Open Alerts or go the left navigation, click Vehicle & Station, click Alerts, and click View Open Alerts. Once the Open Alerts page opens filter your list by station and click view open alerts. 

  • Opened: Date the alert was set. 
  • Category: Alert category selected.
  • Apparatus/Checklist: Displays if the alert applies to an apparatus or checklist. 
  • Posted Station: What station the alert was set for. If the field is blank a general alert was set by the user. 
  • Description: Details of the alert. 
  • By: The first and last name of the user that set the alert.
  • Priority: If the priority field is blank the alert was set as a routine alert. If the alert was set as urgent you will see URGENT in the column. 
  • Last Updated Date: Date and time the alert was updated. 
  • Paperclip Icon: This column displays a paperclip icon when the alert has an attachment. 
  • Details: Provides links to view details of the alert, comment  on the alert, and edit the alert. 

Alert Archive

Open a list of archived alerts by clicking on the drop down arrow next to Set Alert on the home page and click Alert Archives or go the left navigation, click Vehicle & Station, click Alerts, and click Alert Archive. Once the Open Alerts page opens filter your search criteria by station, apparatus, category, posted by, alert status, date range, date opened, and date closed, and click view search results. 

  • Opened: Date alert was set.
  • Opened By: Displays first and last name of the user that opened the alert. 
  • Closed: Date alert was closed.
  • Closed By: Displays first and last name of the user that closed the alert. 
  • Category: Alert category selected. 
  • Apparatus: Displays if the alert applied to a apparatus or checklist. 
  • Posted Station: Displays which station 
  • Description: Details of the alert.
  • Cost:
